App Privacy Policy

Scope
This policy covers the Memoir Builder application itself — web, mobile, and desktop — where you create an account and store your memoir content. It's separate from the Privacy Policy for memoirbuilder.org, which covers this informational website only.
Information We Collect
Account information: your name, email address, and username, whether you sign up directly or via Google or Apple Sign-In.
Publishing author name: the name you choose to appear as the author on your exported memoir (which may differ from your account name).
Your content: the chapters, cards, text, photos, and documents you create or upload — see our Terms of Service & EULA for how this is used.
AI assistant conversations: the messages you and the AI assistant exchange, stored with the board they belong to — see "AI Assistant" below.
Automatic data: IP address, collected for basic functionality, security, and diagnostics. We also use Google Analytics (GA4) in the app to see which features are used, which sets cookies with an anonymous identifier; we never send your memoir content to it. We do not collect: financial/payment data, social media information, or precise location data.
How We Use Your Information
We use this information to provide and operate the Service, maintain account security, and prevent misuse — including, once live, community forums and private chat features (see our Child Abuse Policy). We do not use your information for advertising, profiling, or data selling.
Sharing & Security
We do not sell, rent, or trade your personal data, except where legally required or as part of a business transfer (such as a merger or acquisition). We use reasonable administrative, technical, and physical safeguards to protect your information, though no system is completely secure. We share limited information with the following service providers, only to provide features you choose to use: an AI provider for the AI assistant (see "AI Assistant" below), and, if you choose to transcribe an uploaded audio file, a third-party transcription provider (AssemblyAI), which receives that audio file to produce its text.
AI Assistant
The AI assistant is available only to signed-in accounts. When you send it a message, we send that message and the structure of the board you're working on — the titles, descriptions, and statuses of your columns, chapters, and cards, and the file names of items attached to cards — to a third-party AI provider, which we reach through OpenRouter, a service that routes the request to the underlying AI model provider.
What we do not send: the contents of your uploaded files or of documents you write, and your name, email address, username, or other account details. Titles and descriptions can still contain names and personal details, so please leave out anything you don't want processed this way.
The provider processes what we send in order to generate a response and is subject to its own terms and privacy practices. We do not use your content to train AI models. The assistant can only suggest changes; nothing on your board changes unless you approve it.
Your conversations with the assistant are stored with the board they belong to. You can clear a board's conversation at any time, and it is deleted when you delete the board or your account.
Your Rights & Deletion
You may access, correct, or delete your data, including your AI assistant conversations. To delete your account and its data, see our Delete My Data Policy. If you're located in the EEA/UK, you have additional rights under GDPR, including the right to data portability.
Changes to This Policy
We may update this policy from time to time. The effective date and version number at the top of this page reflect the most recent revision.
